The Fine Arts Work Center in Provincetown is a nonprofit organization dedicated to encouraging the growth and development of emerging visual artists and writers and to restoring the year-round vitality of the historic art community of Provincetown. The Work Center is internationally known for its acclaimed 7-month residency program granting fellowships to 20 emerging writers and artists, as well as its open enrollment Summer Workshop Program, an online writing program 24PearlStreet, and an extensive series of year-round cultural events and exhibitions.

Purpose of Position: The Administrative Assistant supports office administration, operations, and accounting; provides clerical assistance to the Executive Director; and provides assistance on a seasonal basis for special events planning and production support.

Key Duties:

General Office and Administrative Support

 

● Open and/or close the administrative office
● Greet visitors as the first contact for public assistance and reception
● Oversee gallery open hours and schedule
● Assist with maintaining a current ‘FAWC Master Calendar’ via Google Calendar
● Facilitate staff celebrations (e.g. birthdays, lunches, bonding activities, farewells)
● Coordinate the Holiday Party in December for the staff, Fellows and local community
● Support the Executive and Administrative Directors scheduling needs
● Assist with special projects from Executive Director as assigned
● Manage mail in all respects, including postage meter, fax and delivery services
● Coordinate mail delivery and forwarding for Fellows, Students, and Faculty
● Oversee office supplies: monitor, order and organize
● Coordinate office tidiness with Head of Housekeeping

Accounting

 

● Under direction of Administrative Director, communicate with Bookkeeper and Executive Director
● Process income in the forms of checks, cash and credit card transactions
● Make weekly bank deposits, if needed
● Prepare check requests for open invoices on a weekly basis
● Code credit card expenses on a weekly basis for review by Administrative Director

Information Technology and Database Management

 

● Database entry: student registrations, faculty, individual gifts and event contributions
● Assist FAWC staff, Fellow, faculty, students and visitors with simple technology needs
● Tend to office technology, Lounge Computer Room and Digital Media Lab
● Order printer supplies and paper as needed

Seasonal Event Support

 

● Assist Administrative Director with event orders, catering, AV rentals, and permit
coordination
● Assist Executive Director and Administrative Director with fundraising event and
fundraising campaign tracking
● Process and track ticket sales and attendance

Events may include:

 

– Special Salons and Benefits (NYC & Boston)
– Summer Awards Celebration in July
– Gallery Openings, Readings, & Special Events outside of the Fellowship
– Program and Summer Workshop Program

Board of Trustees, Advisors and Committees

 ● Coordinate document presentations, both digital and print versions
● Setup and share conference call instructions
● Maintain Board contact information and current committee distribution lists
● Prepare meeting spaces in collaboration with Housekeeping/B&G
● Take meeting minutes for Trustee meetings and Committee meetings, if needed

Qualifications:

 

● Welcoming presence, enthusiasm, people skills and patience
● Good organizational skills (attention to detail); dependability
● Excellent communication skills, both phone and email
● Strong comfort with technology and learning new software applications
● Strong computer skills, including Microsoft Office and Google Workspace
● Strong internet skills, including use of email programs
● Previous non-profit experience is a plus

Open Call for Instructors

The Fine Arts Work Center in Provincetown is gathering applications from those interested in teaching online or in-person printmaking, painting, drawing, photography, graphic novel, screenwriting, playwriting, hybrid, memoir, non-fiction, fiction, and poetry workshops in our Summer Program, in our 24PearlStreet Program, and in our other developing initiatives.

The purpose of this limited, open call for instructors is to create a pool of applicants for general review. Our hope is to get to know potential instructors who might be off our radar. Applying does not guarantee placement as an instructor. Successful candidates have 1) excellent and relevant teaching credentials (for 24PearlStreet this includes experience with teaching via an online learning platform); 2) a strong online presence and/or a proven willingness to promote; as well as 3) a strong connection to a community, or to communities that would follow them to a FAWC Summer Program workshop or to a 24PearlStreet online writing workshop–and/or national name-recognition/reach in their field.

Qualifying applicants should submit:

 

● Brief cover letter about why you’re a great fit for FAWC. Specify which kinds of workshops you’re interested in teaching. Though we hope you peruse our past course selections to understand the scope of our offerings, we’re especially interested in hearing what you might offer that’s new to FAWC.

● CV listing relevant teaching experience and a selected exhibit/publication record.

● 2 professional references.

● 1-3 titled workshop descriptions (75 words for Summer Program and 250 words for 24PearlStreet).
